START WITH THE DECISION

Workload planning, incident investigation and prevention ask different things of a monitoring platform. Evaluate the workflow you actually need.

A manager trying to rebalance workloads and a security analyst investigating a sensitive-file transfer should not evaluate employee monitoring software with the same checklist.

That is the starting point for an ActivTrak vs. Teramind comparison.

ActivTrak offers packages for work-activity tracking, workforce management, and productivity optimization. Teramind combines activity monitoring and productivity reporting with more extensive investigation and data-loss-prevention capabilities. Both provide visibility into work, but the information they collect—and the decisions they support—are not identical.

The right choice depends on three questions: What do you need to understand? What evidence do you need to retain? What actions do you need the software to prevent?

This guide compares monitoring depth, productivity reporting, privacy controls, pricing, and deployment requirements. It also explains when a more focused activity-monitoring tool may be sufficient. For a broader shortlist, see our guide to employee monitoring software for small businesses.

Editorial disclosure: Neebix publishes this guide. The comparison is based on official product, pricing, and support documentation—not hands-on testing of both platforms. Recommendations reflect suitability for specific requirements, not a universal performance ranking.

1. Productivity analytics: Similar terminology, different management questions

Both platforms can help review working patterns. The distinction becomes clearer when you identify the decision a manager needs to make.

ActivTrak: Investigating workload and work patterns

ActivTrak’s Workload Balance dashboard provides team, individual, and capacity-planning views. It evaluates recorded activity against configured goals and thresholds and is available with Productivity Optimization and the combined Workforce Management + Productivity Optimization package.

For a manager reviewing uneven workloads, that provides a relevant evaluation path: examine the distribution of recorded work, identify patterns, and then discuss the underlying causes.

Consider a hypothetical operations team where some employees regularly finish late while others have available capacity. A useful review would investigate task allocation, training needs, and dependencies—not simply identify who has the highest activity percentage.

Teramind: Connecting productivity records with detailed activity

Teramind also supports productivity analysis. Its documentation describes classifications by user, department, or team, along with dashboards for reviewing activity and productivity trends. It is not exclusively a security-investigation product.

Its metrics distinguish active time, idle time, and time spent in applications classified as productive or unproductive. For example, its standard Productive Time measure includes active and idle time within productive applications; active-only measures are available separately.

Do not compare percentages without checking their definitions

ActivTrak separates active, passive, and inactive time, and its summary and detailed views can calculate productivity ratios differently. That means similarly named figures across the two products should not be assumed to measure exactly the same thing.

Before interpreting either dashboard, check the activity classifications, time thresholds, working schedules, and report definition.

Use activity data to identify questions worth investigating—not as a complete measure of an employee’s contribution.

A person reviewing a difficult proposal may generate little input while making important decisions. A highly active user may still be working on the wrong priority. Neither situation can be resolved by a percentage alone.

2. Screenshots and session recordings: A live view is not a replay

VISUAL EVIDENCE · DATA FLOW

Three ways to see an event

From a monitored activity, choose the evidence type that answers your question.

PATH C · HISTORYRecorded playbackRetained sequence that can be reviewed around an eventTeramind Session Player
Alternative evidence paths, not sequential steps. Availability depends on the selected package, settings and device.

“Screen monitoring” can mean several different things. This is one of the most important distinctions between ActivTrak and Teramind.

What ActivTrak provides

ActivTrak offers screenshots and live screen views through its Screen Details add-on. Screenshots are triggered by configured alarms and remain off by default, even after purchasing the add-on, until the relevant screenshot alarms are enabled.

Its documentation explicitly states that it does not offer video monitoring or access employees’ cameras. A live screen view should therefore not be interpreted as a continuously recorded session archive.

What Teramind provides

Teramind’s Session Player supports reviewing live and recorded sessions. Its dashboard workflows can link an activity record to the corresponding point in a recording, helping a reviewer inspect the sequence around an event.

Recording does not have to mean collecting every screen all day. Teramind documents event-triggered recording and application- or website-specific exclusions. Availability and behavior must be checked against the selected operating system and configuration.

Which approach fits your requirement?

For occasional visual context around a defined event, evaluate whether alarm-triggered screenshots are enough.

For a requirement to reconstruct a sequence—such as what happened immediately before and after a particular action—recorded playback may be necessary.

Specify the evidence you need before selecting the capture method. More recording is not automatically more useful, particularly when nobody has a defined process for reviewing it.

3. Security controls: An alert is not the same as prevention

SECURITY RESPONSE · DATA FLOW

From a signal to a control

Specify the outcome before comparing products.

01 · SIGNALActivity or contentA USB event, application action or sensitive file
02 · DETECTIONApply a ruleMatch a defined event or inspect supported content
03 · RESPONSELog · alert · blockThree distinct results; validate the exact action offered
04 · REVIEWAuthorized investigationVerify the evidence, rule and responsible reviewer
Conceptual decision flow; no result here is a claim about a completed product test.

It would be inaccurate to describe ActivTrak as having no security features.

ActivTrak provides activity alarms, USB alarms, and security-audit alarms. Depending on the configuration, actions can include notifications, screenshots, pop-up messages, and application termination. Its documentation also notes that the agent does not access the content written to USB devices.

That is an important boundary: detecting a USB-related event is different from inspecting the contents of a file.

Teramind’s DLP package adds content-based rules, sensitive-content detection, and automatic blocking. Its rule documentation includes controls intended to prevent sensitive files from being copied to unauthorized external storage.

However, “supports blocking” should not be interpreted as “every monitored channel supports every blocking action.” Teramind’s own documentation describes differences and limitations across rule types.

Test the precise security requirement

Use an authorized test with dummy data and ask the vendor to demonstrate what happens.

Does the system merely record the event? Does it alert someone? Can it prevent the action from completing? Does the resulting record explain which policy applied?

These are separate outcomes.

For a business purchasing software specifically to prevent a prohibited data transfer, an attractive activity dashboard is not an adequate substitute for a successful control test.

4. Privacy: Compare what is collected, not just what is displayed

Privacy is not settled by a product label. Evaluate collection settings, viewing permissions, monitoring hours, and retention separately.

ActivTrak’s approach

ActivTrak documents role-based access, tracking schedules, and controls that limit granular details in reports. It also excludes keystroke logging and video monitoring from the platform.

The level of detail can change with the package and settings. Its Account Configuration documentation distinguishes basic details, advanced details, and the fuller capabilities available with Screen Details. Enabling an add-on can therefore change more than the appearance of a dashboard.

Teramind’s approach

Teramind lets administrators disable monitoring channels, limit monitoring to selected applications or websites, and define collection schedules. Those controls allow a narrower deployment than the platform’s maximum monitoring capabilities would suggest.

A useful distinction appears in its website-monitoring documentation: excluding a website from screen recording can black out the visual content while its URL and title may remain in activity logs. Stopping one form of collection does not necessarily stop another.

Ask for a privacy demonstration

During evaluation, use dummy personal information and verify what remains visible in the activity log, screenshots, recordings, and exported reports.

Also establish who may change settings and who can review individual records. The employee notice should describe the configuration you actually deploy—not every feature the product could theoretically provide.

For example, UK ICO guidance emphasizes transparency and proportionate policies when monitoring workers. Requirements depend on jurisdiction and use case, so obtain appropriate advice rather than treating a software purchase as a compliance guarantee.

5. ActivTrak vs. Teramind pricing: Compare the required package

The starting price can be misleading when the feature driving the purchase belongs to a different package. See our employee monitoring software pricing guide for full-team budget examples.

ActivTrak’s published package prices

ActivTrak’s pricing page lists the following base rates. The annual totals below are simple calculations for 50 licenses held for a full year, before add-ons, taxes, or other applicable charges.

Work Activity Tracking$10$6,000
Workforce Management$15$9,000
Productivity Optimization$17$10,200
Documentation:ActivTrak pricing

These packages address different requirements. Do not assume that purchasing the highest-priced standalone package automatically includes every capability shown elsewhere in the product.

For example, ActivTrak’s pricing page lists Screen Details for Work Activity Tracking and Workforce Management. Buyers needing advanced productivity analysis alongside visual capture should confirm the appropriate package or bundle.

The Screen Details help page publishes an additional $2 per user per month, with add-on licenses required to match the account’s license count. At that rate, 50 licenses add an annualized $1,200; confirm eligibility and contract terms before treating that as the final charge.

An additional cost condition matters above 50 licenses: ActivTrak states that a paid support plan is required for purchases exceeding that threshold. Obtain the support price rather than treating the base license calculation as the complete quote.

Teramind’s published reference prices

Teramind’s own comparison articles publish these five-seat, annual-billing examples:

Vendor-published reference rates, not a configuration-specific quote. Confirm the billing period and terms directly.
Teramind packageVendor-published reference rate per seat/month
Starter$14
UAM — User Activity Monitoring$28
DLP — Data Loss Prevention$32

These are published reference prices, not a verified quote for your organization. Teramind’s licensing guidance states that pricing scales with user count and offers monthly or annual subscriptions with a five-seat minimum. Confirm your currency, deployment, required features, and billing term directly.

Its annual subscriptions are paid upfront and described as non-refundable. Do not confuse a monthly equivalent under an annual contract with a cancellable month-to-month payment.

Which platform costs less?

A defensible answer requires matching configurations.

Comparing ActivTrak’s entry package with Teramind DLP measures two different purchasing decisions. Equally, comparing only starting rates ignores screenshots, advanced analytics, support, retention, or deployment requirements.

Ask both vendors to price the same written brief. Include the reports you need, monitoring channels, license count, access controls, retention, and support expectations.

Compare the cost of solving your problem—not the cost of entering each product’s ecosystem.

6. Setup and deployment: Evaluate the whole rollout

Neither this guide nor a pricing table can establish which product will take less time to deploy in your environment.

Installation is only one part of the work. You also need correct permissions, classifications, monitoring boundaries, access controls, and reports.

ActivTrak deployment considerations

ActivTrak documents Windows, macOS, and ChromeOS agents, along with individual and centrally managed deployment methods. Its setup guidance also highlights antivirus/firewall allowlisting and operating-system permissions as important considerations.

After installation, configure groups and goals to match how the organization works. ActivTrak’s workload guidance specifically identifies those settings as prerequisites for meaningful analysis.

Teramind deployment considerations

Teramind offers hosted and self-managed deployment options. For an on-premises installation, its guide assigns server management and backups to the customer. That changes the administration requirement compared with evaluating a hosted service.

Its current agent documentation lists Windows, macOS, and Linux support, while explicitly noting functional limitations on macOS and Linux. Do not assume that a feature demonstrated on Windows behaves identically on every supported platform.

A better measure of setup effort

Measure the work required to reach a reliable first review.

Can a manager find the intended report without assistance? Are sensitive applications handled correctly? Do meetings and offline work create misleading gaps? Can someone explain an unexpected result?

A successful installer does not answer those questions.

7. Which platform fits your team’s actual requirement?

The following are recommended evaluation paths—not claims that either product guarantees a particular business outcome.

Start with ActivTrak for workload and capacity questions

Consider a hypothetical team whose main concern is uneven workload, fragmented focus, or difficulty planning capacity.

ActivTrak’s dedicated workload and capacity views make it a relevant starting point. Confirm that the chosen package includes the required dashboards and that your goals and group structure produce meaningful results.

The purchasing test should be whether managers can make a better allocation or coaching decision—not whether they can see more individual activity.

Start with Teramind for detailed investigations or prevention

Consider a business that must reconstruct a specific sequence of actions or enforce a rule against transferring sensitive information. If you are replacing an existing system, compare Teramind alternatives against the same requirement.

Teramind’s recorded-session workflows and content-based controls make it a relevant starting point for that requirement. Evaluate the exact channels, operating systems, and rule actions needed.

Define who owns the resulting alerts and investigations before deployment.

Shortlist both when operations and security share the purchase

Some organizations need managers to review work patterns while security personnel investigate a smaller set of incidents.

In that situation, test both teams’ workflows separately. Ask whether the proposed configuration gives each role appropriate information without exposing detailed records unnecessarily.

Do not let one impressive demonstration stand in for two different requirements.

Evaluate hosting early when it is non-negotiable

A requirement to operate the monitoring service on your own infrastructure should be raised before a general product demonstration. Teramind provides a documented on-premises deployment route, including customer responsibilities for the environment.

Treat hosting as a purchasing constraint, not a minor feature to check after selecting a platform.

8. Run a pilot that can challenge your assumptions

Use the same evaluation framework for both products.

Swipe to view the full table

A practical pilot framework. Success conditions are evaluation goals, not measured test results.
Pilot testWhat a successful result should demonstrate
An ordinary working dayThe records account for normal work patterns without requiring constant manual explanation.
A manager’s weekly reviewThe manager can answer the original business question and identify an appropriate next action.
A privacy-boundary test using dummy dataCollection, visibility, exclusions, and permissions behave as intended.
An authorized security test, where relevantThe system distinguishes recording, alerting, and prevention and produces the required evidence.
A purchasing checkEvery tested capability exists in the quoted package, add-ons, and deployment configuration.

Complete this scorecard with observed results from a real, authorized pilot before selecting a product.

Record discrepancies rather than explaining them away.

An evaluation should expose limitations before purchase. That is more valuable than a demonstration in which every condition has been selected to make the product look successful.

Frequently asked questions

Does ActivTrak record employees’ screens?

ActivTrak can capture screenshots and provide live screen views through Screen Details, but it states that it does not offer video monitoring. Screenshots are alarm-triggered and require configuration; live viewing is not the same as a recorded session archive.

Can Teramind be used for productivity monitoring without enabling every monitoring channel?

Yes. Teramind supports productivity reporting, and administrators can disable channels or narrow monitoring to selected applications, websites, and schedules. Verify the behavior of the chosen configuration instead of assuming every capability must be enabled.

Does ActivTrak have a free plan?

ActivTrak offers a free account limited to three users and 30 days of data history. Its documented free-account restrictions exclude screenshots and several other advanced capabilities. A free account is not equivalent to a paid package or a full-featured trial.

Documentation:ActivTrak pricing

Is ActivTrak a replacement for Teramind DLP?

Not on the basis of activity visibility alone. ActivTrak documents event-based alarms, but its USB documentation says it does not inspect the content written to USB devices. Teramind documents content-sharing rules designed to prevent sensitive transfers. Match the required control before considering one a replacement for the other.

Which is easier to use?

This documentation-based comparison does not establish a usability winner.

Test installation, configuration, report interpretation, and ongoing administration with the people who will use the system. A platform that suits an experienced security team may not suit a manager who only needs a weekly work summary.

When a more focused tool may be enough

A business needing activity timelines, timesheets, occasional screenshots, and device status may not need to make advanced workforce analysis or incident investigation the center of its purchase.

Neebix’s published offering covers application and website usage, activity classifications, timesheets, optional screenshots, configurable retention, and live device visibility. Those capabilities make it relevant to an evaluation centered on everyday operational monitoring. Review Neebix employee monitoring features for the current product scope.

Choose the information your team can act on

The most useful ActivTrak vs. Teramind decision starts with a defined task: rebalance work, review activity, reconstruct an incident, or prevent a prohibited action.

Choose the configuration that supports that task, applies appropriate monitoring boundaries, and gives the responsible team a workable review process.

The goal is not to collect the most information. It is to make a better decision with the information you genuinely need.
